What the monthly service actually does

Five things the register can't, because they need what only your student system knows.

01 · THE TYPING

The credit transfers, worked out and in typing order

When the replacement renumbers a unit, no student management system decides for you which completed unit carries across — the codes no longer match, so someone has to work it out. Someone works out, learner by learner, which completed units carry into the new code, which need the evidence re-mapped, and which are genuine gaps. You get that as a worksheet in the order you key it in: who, which unit, the exact AVETMISS outcome code to key — credit transfers to key, units already held marked so you key nothing twice — and why, with the register's own wording quoted where the evidence needs re-mapping. Where a learner's gap units carry published work placement hours, the file budgets them too. On screen and as a CSV download, SMS-ready. The item 14 cut-off shown with it is the effective one — any extension ASQA has published for that product is already applied.

Feeding it is the easy bit: drop in the export you already have — an Excel file (.xlsx), a CSV, the AVETMISS NAT00120 your student system generates, or the whole AVETMISS ZIP, as-is. Your browser strips the names before anything is sent, and you keep the name-to-reference map locally. You don't even have to know which transition to run: it reads the unit codes and offers the qualifications that fit, best first. You get back, learner by learner, what each of them still needs under the current qualification — and where the register does not publish enough to say, the file says so instead of guessing. Where the replacement is NOT EQUIVALENT, that's real remapping, not paperwork. A file carrying a name, a date of birth or a USI is rejected outright — the failing check named, never the value — before any row is measured or stored.

The answer to the date, not the reminder

The cut-off is free, and so is the reminder: the watch emails you at 90, 30 and 7 days before each one. Knowing who is still inside the old product is free too — the enrolment cross does that in your browser. What none of it can tell you is what each of those learners still needs under the current qualification, unit by unit, and which of it is a credit transfer rather than teaching. That is the paid half, and it is the only question here the register cannot answer.

03 · THE DESK

A standing panel, not a one-off file

Every run lives in your account as a five-tab dashboard — overview, register changes, learners, worksheet, evidence — and it keeps its state. Each learner carries a status: Needs action, In progress, Done. You never type the status in; it follows from the actions you record — credit recorded, assessment scheduled, learner closed — each a dated entry in a log where undoing something is a new entry, not an erasure. Close the tab this month, open it next month: the list is exactly where you left it.

04 · THE PROOF

A dated evidence pack

When you need to show how the transition was handled, the whole run prints as one document: when it ran, in UTC; the verdict for each learner; and the decision log with its dates — so the story is documented as it happened, not reconstructed from memory the day your compliance is reviewed. It carries the full SHA-256 fingerprint of the file the engine received — for a CSV or Excel drop, the de-identified file your browser built and handed you before sending, not your original export: re-hash that file any day and it must match. Print it or save it as a PDF; it is built for the filing cabinet.

What's actually free, and does it stay free?

Is there a deadline for learners already enrolled?
No fixed one. The item 14 enrolment cut-off is when new enrolments into a superseded product must stop, and ASQA can extend that date. Learners already enrolled finish or transfer in a timely manner — there is no fixed date on them to extend in the first place. We never call it a teach-out deadline, because the instrument doesn't.
How is my tier decided, and what if I run several centres?
By the number of products on your live scope. Up to 50 is Small, 51 to 500 is Standard, more than 500 is Volume. Each centre is priced separately on its own scope; one login holds them all, and you cancel any one alone. Use the price finder to see each and the total.
What about GST and a tax invoice?
The amount shown is the amount charged — nothing is added at checkout. If you need an invoice for your records, talk to us first and we'll sort it. Prices are in AUD.
What if it doesn't work out?
Cancel any time from the billing portal — no lock-in. The service runs to the end of the month you have already paid for, and nothing renews after that. And the first 30 days carry a full money-back guarantee: if it doesn't earn its keep, say so and we refund them, no questions.
If I cancel, do I lose the Transition Files I already have?
No. Every file you have already generated stays in your account and stays downloadable — the dated working and the CSV both. What stops is producing new ones. The free side keeps running exactly as before: the scope check, the item 14 enrolment cut-offs, the unit-by-unit map and the watch.
Doesn't my student management system already do this?
Your SMS holds the learner data; we hold the register and the legislation. When we read the public product pages of the major systems (aXcelerate, VETtrak, Wisenet and Cloud Assess, last read 15 September 2026), none of them described computing the item 14 enrolment date for your scope or measuring each learner against the replacement qualification — we read those pages, not their full knowledge bases, so ask yours directly, because a system can do something without publishing it. This is built to feed your SMS, not to replace it: you export from it, and what comes back is the working — down to the AVETMISS outcome code each row keys.
How much work is this for me each month?
Minutes, and it is manual: you export enrolment results from your student system and drop the file on the page. There is no automatic connector to your SMS today — if that matters to you, say so, because customer demand is what decides whether it gets built. Everything after the drop is ours: the reduction happens in your browser, and the measuring, the dating and the file are done for you. Runs are not metered and learners are not priced per head — re-run as often as the work needs, because a transition closes over months, not in one sitting; the technical limits are a per-file cap of 50,000 rows (one row per learner and unit) and an anti-abuse brake on how many uploads can start within the same minute — a pace guard, not a meter. And the month does not reset: every run, each learner's status and the decision log stay in your account, so you carry on where you left off rather than starting again.
What is this document worth if ASQA audits me?
It is your own dated working, not a regulator sign-off — we are not ASQA and nothing we produce approves anything. What it gives you is the thing that is hard to reconstruct months later: for each learner, what carried across, what needed evidence remapped and what was genuinely missing, computed against the replacement qualification on a stated date, with a fingerprint of the file it came from. It prints as a single document — the UTC timestamp of the run, the per-learner verdicts, the decision log with its dates, and the full SHA-256 fingerprint of the file the engine measured. For a CSV or Excel drop that is the de-identified file your browser built and offered you for download before sending, not your original export — keep it, and anyone can re-hash it any day to check the match.
